Position Admin & Program Coordinator – (Bilingual in Chinese Required)
Salary $26.00 – $30.00 / hour + Excellent Benefits
Reports to Sr. Admin & H.R. Manager

POSITION DESCRIPTION

We are seeking a highly organized and proactive Administrative & Program Coordinator to join our team. This position will be responsible for managing day-to-day operations of our office, ensuring its smooth functioning and providing support to various departments. This position requires excellent multitasking skills, attention to detail, and the ability to work independently. The ideal candidate will have a diverse skill set and be comfortable performing a variety of duties, including coordinating office repairs and maintenance, implementing safety policies and procedures, and coordinating administrative projects.

DUTIES AND RESPONSIBILITIES

  • Office Management: Oversee the daily operations of the office, ensuring it runs smoothly and efficiently.
  • Driving: Safely operate company vehicles for various tasks, such as vehicle maintenance, running errands, and attending off-site meetings.
  • Safety Policy Execution: Implement and enforce safety policies and procedures to maintain a safe and secure working environment.
  • Repairs and Maintenance: Coordinate repairs, maintenance, and improvements of office facilities, equipment, and systems, liaising with vendors and contractors as needed.
  • Supplies and Inventory Management: Monitor and maintain office supplies, equipment, and inventory levels, ensuring adequate stock is available.
  • Administrative Support: Assist with administrative tasks, including answering phone calls, managing correspondence, scheduling appointments, and organizing meetings.
  • Facilities Management: Oversee general office upkeep, cleanliness, and organization, ensuring a professional and welcoming environment.
  • Event Planning: Coordinate and assist in organizing agency-wide events, meetings, conferences, and social activities.
  • Recordkeeping and Documentation: Maintain accurate records and documentation related to office operations, expenses, and compliance.
  • Communication and Coordination: Facilitate effective communication and collaboration between different departments and teams within the office.
  • Other duties as assigned by management.

QUALIFICATIONS/REQUIREMENTS

  • BA degree in relevant field.
  • 2+ years of experience providing administrative or program operations support.
  • Good written and verbal communication skills in interacting with people in a positive and courteous manner.
  • Good knowledge of Google Drive and Microsoft Office Applications, such as MS Word and Excel.
  • Good organization skills with a results-oriented focus, and ability to meet strict deadlines.
  • Good level of personal organization, attention to detail and follow through with a strong ability to stay calm in high-energy environments.
  • Ability to handle sensitive and confidential information with discretion and diplomacy.
  • Must be dependable and have the ability to multitask and prioritize work while also being flexible to support staff needs.
  • Possess professional demeanor, integrity, good judgment, and good interpersonal skills.
  • Bilingual in Cantonese/Mandarin and English is REQUIRED. 
  • Able to lift or move at least 35lbs.
  • Must have a valid CA driver’s license and a clean driving record.  Must be able to pass insurance requirements for van usage.
  • Commitment to taking regular Covid-19 health tests as required by program health and safety guidelines and/or current health directives.
  • Ability to complete Covid-19 vaccination requirement unless the individual qualifies for an exemption due to a disability or religious reason. (Exemptions must be approved by H.R.)
